Onboarding a supplier is the method used to add new suppliers to your list in Ignite, and it can be done through clicking a few buttons and filling in any desired information you want the supplier to have.

Onboarding of suppliers can be done via two different methods in Ignite. Which method to choose depends on whether you upload your suppliers via files or if you want to add them manually.
Add an individual supplier
If you want to manually add a supplier into Ignite instead of uploading it via a file, this method is the one to use. If this does not apply to you, please see method described further below in the next section.
Navigate to the Supplier overview in the left side menu.
Click the Onboard supplier button in the upper right corner.
Fill in the name of the supplier, and optionally the VAT number. If you have made any fitting sets of Requirements for the supplier, these can also be selected here.
Note: All characters are supported for supplier names, no matter the language.
Click the "Next" button to continue to the next step, adding information to the supplier.
Onboard existing suppliers
If you have uploaded suppliers via a file and want to add these to onboarding, this is the approach to choose. This approach also applies if you want to add manually created suppliers back into onboarding.
First, navigate to the Supplier overview in the left side menu.
Find the suppliers you want to add to onboarding by checking the boxes next to their names.
After selecting all the suppliers you want to onboard, click the three dots on the black bar menu on the bottom of the page and choose the Update supplier status option.
4. Click the In onboarding alternative, and then press the Move X suppliers to onboarding button to finalize the process.
Adding supplier information for suppliers in onboarding
In the next step of the supplier onboarding process, you can add the information you have on the supplier. Any required data points from your chosen set of Requirements will show up at the top.
If you are missing any information for the supplier, it is possible to send them a request to provide the info you need.
While the supplier is in onboarding, you can create internal tasks related to the supplier through the Checklist field.
After you have finished adding all the elements you want the supplier to have in their Supplier profile, click Finalize onboarding to finish up and approve or reject the supplier.
Pre-Qualification Process
To streamline the onboarding process, it is possible to pre-qualify suppliers before they are fully onboarded into Ignite:
Send a Pre-Qualification Questionnaire: After registering a new supplier, you can send a tailored pre-qualification questionnaire to collect information to evaluate their suitability.
Use the questionnaire functionality in Ignite to create or choose an existing set of requirements.
Ensure that questions cover your organization's specific pre-qualification needs.
Review Responses: Evaluate the responses submitted by suppliers to determine their eligibility for onboarding.
Address Information Gaps: Use the supplier information request option to gather any missing information during this step.
This process enables organizations to assess suitability before progressing with full onboarding steps.
Supplier status column in the Supplier Overview
Once a supplier has been added into Ignite through the onboarding process, the column in the Supplier overview named Supplier status will contain the suppliers current status.
The status shown here will either be Approved, Rejected, Onboarding, or it will be empty.
Note: By default, any suppliers that were added to your list via file uploads do not get a value in the Supplier status column. This is because the column is meant to be used for suppliers you add through the Onboard supplier functionality.
You can access columns that display the date the supplier was added to onboarding and the name of the user that approved the supplier. These columns are titled Onboarding Started At and Onboarding Approved By.
